Role Summary
The Senior HR Operations Specialist will support the smooth functioning of the HR operations cycle,
with a focus on payroll processing, employee lifecycle management, onboarding coordination, query
resolution, and HRIS administration (KEKA). This role is ideal for candidates who are detail-oriented,
process-driven, and eager to grow their career in HR operations.
Key Responsibilities
1. Payroll Processing & Administration
- Manage end-to-end payroll processing for all employees (on-roll, contractual, consultants).
- Ensure accuracy in salary computation, deductions, reimbursements, incentives, and full & final settlements.
- Validate attendance, leave, and variable pay inputs before each payroll run.
- Coordinate with Finance for salary disbursement and reconciliation with bank statements.
- Handle payroll for multiple states and locations in compliance with respective state labor laws.
2. Statutory Compliance & Filings
- Ensure timely and accurate statutory deductions and filings, including:
- Provident Fund (PF) – EPF, EPS, and EDLIS compliance and e-filing.
- Employees’ State Insurance (ESI) contributions and filings.
- Professional Tax (PT) deductions and state-wise returns.
- Labour Welfare Fund (LWF) deductions and contributions.
- Income Tax (TDS) deduction, Form 16 issuance, and quarterly TDS returns (Form 24Q).
- Keep updated with changes in Indian labour laws, tax regulations, and compliance updates (Income Tax, EPFO, ESIC, Shops & Establishment Acts, etc.).
- Coordinate with external auditors during payroll audits and statutory inspections.
3. Audit Management
- Coordinate internal and external HR audits
- Furnish and fulfill all documentary requirements of clients as and when presented
- Ensure correct and timely closures of all client audits
- Prepare audit responses, trackers, and closure reports
- Identify gaps and drive corrective and preventive actions
- Maintain SOPs and process documentation for audit readiness
4. Vendor & Contract Labour Compliance
- Monitor vendor compliance with statutory requirements (PF, ESIC, CLRA etc.)
- Review vendor agreements for labour-related compliance obligations
- Maintain documentation and reports for contract labour compliance
5. Systems, Data & Reporting
- Maintain employee data accuracy in the payroll/HRMS system
- Generate and share periodic payroll reports for management and statutory audits.
- Reconcile payroll data with accounting ledgers and cost centers.
- Manage payroll integrations with HR, attendance, and finance systems.
6. Employee Relations & Support
- Handle employee queries related to salary, deductions, payslips, and statutory benefits.
- Educate employees on tax-saving options and Form 12BB submissions.
- Support new employee onboarding and exits from a payroll perspective.
7. Process Improvement & Leadership
- Lead and mentor payroll team members, ensuring adherence to SLAs and accuracy standards.
- Identify opportunities to automate and streamline payroll processes.
- Drive payroll-related internal projects and policy implementations.
Qualifications & Skills
• Bachelor’s degree in HR, Business Administration, or related field.
• Proficiency in MS Excel and Google Sheets.
• Hands-on experience with Keka HRIS (preferred).
• Strong attention to detail and accuracy.
• Good communication and interpersonal skills.
• Ability to handle sensitive information with discretion.
• Problem-solving mindset and willingness to learn.
